Building and Managing Your Team on Thnks

Learn how to add users, manage funding, tackle compliance rules, and more from your Admin dashboard.

Thnks gives you the tools to easily build and manage your team – from adding users to managing spending. With clear oversight and flexible controls, you can help your team send smarter, more thoughtful gestures to maximize impact.

The Thnks Admin Dashboard

The Thnks Admin dashboard will be your control center for managing team members, funding your team, monitoring activity, and more.

From the dashboard, you can take a number of actions, including:

  • Adding, removing, or editing team members, including access and permissions

  • Setting and managing the default payment method for your team, including allocating a balance to teams and users

  • Managing compliance

  • Setting Spend Limits for teams and users

  • Viewing spending and giving activity for each member

For Organizations with Multiple Teams

If your organization has multiple teams, there are a few more actions you can take as an Admin, including:

  • Adding new teams to your organization

  • Shifting team hierarchies

  • Changing team names

  • Moving users between teams

Payment & Funding

Before your team can start sending Thnks, you'll need to set up how payments will work. Thnks offers flexible funding options to suit a variety of needs, from centralized team budgets to individual user payment methods.

Payment Options

Start by selecting a payment method. You can choose from multiple options, including:

  • Team Balance: You pre-load funds via credit card or ACH for your team to draw from for the month.

  • Team Cards: You add a default credit card for your team to charge on an ongoing basis.

  • Personal Cards: Team members charge their personal credit cards on an ongoing basis.

  • User Balances: You allocate funds to individual users, giving each person a monthly balance to draw from.

Setting a Payment Method

When you’re ready to set your team’s payment method:

  1. Navigate to the “Admin” tab in your account

  2. Select “Payment” from the left side menu

  3. Choose one of the four payment options, and click “Save Settings”

Setting Up Your Team

Now that the basics are covered, you’re ready to build your team on Thnks. To start adding users:

  1. Go to the “Admin” tab in the top right corner of the page

  2. Click “Users” from the menu bar and select “Invite User” on the next page

  3. Enter your team members’ information, Spend Limit (if enabled), and the level of access they should have on the Platform (User, Reporting Manager, or Team Admin)

  4. Select “Invite User”

Your new team member(s) will receive an email from Thnks with an invitation to join your team. If you notice team members haven’t accepted their invite, give them a nudge to sign up and get started.

Compliance Rules

Thnks helps your organization stay aligned with applicable compliance requirements by automating and enforcing key controls.

To set compliance rules for your team, go to the “Admin” tab and select “Compliance” from the menu.


Here, you can configure:

  • Team compliance notice: You can share relevant compliance guidelines with your team directly within Thnks.

  • Maximum base price: You have the option to set the maximum value of a Thnks that your users can send.

  • Recipient value limits: You can prevent any one recipient from receiving Thnks that exceed a specified value.

  • Recipient Thnks Count Limit: You can enable this to limit how many Thnks a recipient can receive within a set time period.

  • Restricted domains: You can block team members from sending to specific domains like .gov.

Reporting & Activity

With your team set up, the Reporting dashboard helps you track activity, measure impact, and spot opportunities to support your team. You can access Reporting anytime from the top right corner of the page.

Here, you can see real-time reports and analytics, including:

  • Team leaderboard for sent Thnks

  • Open and redemption rates for each Thnks sent

  • Which Thnks items your team has sent

  • Spending at the individual and team level

For a detailed view of team activity, you can also view an Itemized Receipt. Here’s how:

  1. Navigate to the Admin dashboard

  2. Select “Team Itemized Receipt” from the menu on the left

  3. Choose the Start and End dates for the time period you’d like to review

  4. Click “View”

You’ll see a summary of Purchases, Refunds, as well as the Total (Purchases minus Refunds). You’ll also see a list of all Thnks sent, including the item, date and time, sender, recipient, and price. From here, you can print or download a CSV.
